Job Responsibilities
– Efficiently handle and prioritize personal tasks and errands to ensure they are completed on time and with high quality.
– Manage and organize calendars by scheduling appointments, meetings, and social events, while proactively addressing any conflicts to maximize time efficiency.
– Plan and coordinate business trips and family vacations, including arranging travel, accommodations, itineraries, and expense reports, while taking into account personal preferences and needs.
– Conduct research and provide detailed information on various topics, such as local services, travel destinations, and gift ideas. This includes suggesting gifts, purchasing them, and arranging delivery for special occasions.
– Keep an organized system for tracking important dates like birthdays and anniversaries, and assist in planning and organizing celebrations.
– Help with personal budgeting and financial management by tracking expenses, preparing financial reports, and reconciling accounts.
– Act as a liaison between the Director and external contacts, including VIPs, family members, vendors, and service providers, ensuring clear and timely communication.
– Manage and prioritize official communications, including phone calls and emails, on behalf of the Director, serving as the main point of contact between internal and external stakeholders, including executives in the Hong Kong headquarters.
– Handle personal correspondence, draft letters and emails, and prepare necessary documents, presentations, and reports.
– Organize and coordinate events by arranging venues, catering, invitations, and logistics to ensure successful events.
– Screen incoming calls, emails, and other communications, prioritizing and responding on behalf of the Director when necessary, while maintaining professionalism and confidentiality.
– Protect sensitive personal and professional information by maintaining strict confidentiality.
– Assist in planning and executing urgent projects, ensuring resources are effectively coordinated.
– Oversee driver coordination and vehicle management to ensure the Director’s transportation needs are met efficiently and safely.
– Work with cross-divisional teams on special projects, ensuring clear communication and successful project completion.
